Job Title: Bookkeeper (Part-Time/Contract)
Employer: Port Moody Heritage Society
Reports To: Executive Director

Expected hours per month: ~15

Position Overview:
The Port Moody Heritage Society is seeking an experienced Bookkeeper to support the financial operations of the Society and the Port Moody Station Museum. This role is ideal for a detail-oriented individual with a solid background in bookkeeping who is comfortable working independently and collaboratively in a small non-profit environment.
The successful candidate must have experience with QuickBooks Online (QBO) and a payroll management system, and be familiar with Canadian payroll, tax, and non-profit financial procedures.
Key Responsibilities:
Bi-Weekly (Twice a Month):
Process payroll using a payroll management system
i.e. PayEvo
Record and categorize accounts payable and receivable transactions in QuickBooks Online
Initiate payments for dual authorization once approved by the Executive Director or Board
Monthly:
Prepare and issue invoices
Enter and categorize credit card transactions
Reconcile bank and credit card accounts
Quarterly:
Prepare and file GST reports
Annually:
Prepare and file PST report
Prepare and issue T4s for staff
Work with staff and board to develop and finalize annual budgets
Support the annual financial review or audit by preparing Prepared By Client (PBC) documentation in collaboration with the Executive Director and Board Treasurer
Ongoing Duties:
Record day-to-day financial transactions and ensure accuracy in the general ledger (receivables, payables, journal entries)
Monitor and categorize expenses according to approved budgets and funding streams
Maintain organized documentation for audit and funder reporting purposes
Qualifications:
Diploma or certificate in Accounting, Bookkeeping, or Business Administration
Minimum 5 years of relevant bookkeeping experience
Proven experience in bookkeeping with direct use of QuickBooks Online and PayEvo
Strong understanding of Canadian payroll systems, government remittances, and tax reporting (GST/PST/T4s)
Experience/Familiarity with Canadian accounting standards for not-for-profits (ASNPO) or supporting non-profit organizations is an asset
High attention to detail and accuracy
Excellent organizational and time-management skills
Ability to work independently and maintain financial confidentiality
Occasional meetings or reporting deadlines may require some flexibility in hours
Must be legally eligible to work in Canada
